A graduand needs a transcript for a foreign application with a deadline. The request is taken at a counter, the fee paid in cash, and the file walks between the exams office, the faculty and the Registrar. An employer in another country emails to ask whether a degree certificate is genuine, and someone has to check the records and reply — if they reply at all. At graduation the whole queue arrives at once.

Who authorises, and how
The Registrar authorises with a personal signing PIN, one document or a reviewed batch at a time — which matters when a graduation cycle puts thousands of certificates in the queue at once. Repeated failed attempts lock that officer’s signing capability, and every authorisation is recorded against the officer who made it.
Correction, revocation, re-issuance
A grade correction after issuance does not mean quietly reprinting. Issue an amendment: the corrected transcript carries a new issuance number and supersedes the original, and anyone still holding the old copy is told which document replaced it when they check its code.
Verification, from their side
Employers, foreign admissions offices and credential evaluators verify from the code, under your institution’s name, without contacting the exams office. Those checking at volume can be registered for API access and charged for it, turning a cost centre into a revenue line.
Scale and structure
Campuses and faculties run as branches under one institution, each with its own numbering sequence and staff, reporting into one set of figures for the Registrar.
